We are seeking a skilled Administration Support Officer to play a key role in the team providing a full range of high-level administrative support and related services across the AV Rosters department.

About the role 

Working within AV's Operations Office/Operational Logistics area, you will report to the Senior Manager Operational Resourcing where your main responsibilities include, but are not limited to:

  • Overseeing the office and administrative services for the department including timely & effective diary management, co-ordinating and preparing key documentation for the Senior Manager Operational Resourcing, organising meetings, workshops and related functions.
  • Act as a point of contact for the Rosters department and provide secretarial support at meetings, including preparation of agenda items and supporting documentation, and recording, preparing and distributing minutes.
  • Review and screen submissions, business cases, briefing notes and memos to the Senior Manager Operational Resourcing and ensure compliance with Rosters policy and procedure.
  • Assist with reconciling and compiling regular and ad-hoc statistical, financial, purchase orders and monthly budget reports, as well as processing Rosters staff timesheets.
  • Maintain business systems for the Rosters department as requested.

About you

The ideal candidate will have experience in a similar role, with impeccable attention to detail and outstanding communication skills with the ability to foster constructive and effective working relationships and be comfortable providing support at a senior management level. 

To be considered for this position you will possess:

  • Demonstrated extensive experience and expertise in providing secretarial and administrative support at a senior management level.
  • Demonstrated experience in the development and maintenance of administrative systems.
  • Proven experience in using computerised financial information systems, word processing and spread sheeting applications including advanced computer skills and proficiency of Microsoft Office suite applications.
  • Effective interpersonal and influencing skills
  • Ability to actively participate as a member of a team and assist others to achieve work goals.
  • Ability to operate under pressure & work effectively within tight timelines.
  • Initiative & confidence to work independently.
  • Tertiary qualification in a business, human resources or related experience in this discipline is desirable.
