About the Role


The Advancing Care Personal Assistant is responsible for providing high level confidential secretarial and administrative support to the Advancing Care Director, Chief Nursing and Midwifery Information Officer and Chief Medical Information Officer inclusive of full diary and some email management, meeting preparation, day-to-day office management and other high-level administrative services within the Advancing Care Program.


This position will be responsible for the execution of key administrative processes including the diary management, KRONOS management, scheduling meetings, acting as a minute secretary, ordering stationary and other items such as computer equipment, leave and personnel related tasks to support the efficient execution of the Program.


The Advancing Care Personal Assistant will provide high quality administrative assistance to the Advancing Care team for all project and related activities and will also be the first point of contact for the Advancing Care team in many circumstances.


Your key responsibilities will include:



  • Delivery of a high-quality customer service to internal and external stakeholders

  • Diary management

  • Documentation preparation

  • Kronos management

  • Contract management

  • Meeting coordination including venue bookings, agenda preparation and minute taking where required (including internal and external committees)

  • Preparation of executive level presentations, documents, monthly reports

  • General office management and administrative support


About You:



  • You have a demonstrated commitment to continuous improvement in the work environment

  • You have ability to deliver high level of accuracy and attention to detail

  • You have supported executives or directors in the past, you know how to provide the level of administrative support they will need

  • With your strong written and verbal communication skills and your ability to uphold strict confidentiality, you will thrive in this busy dynamic setting and be able to respond to the changing needs that come with working in Public Health.

Previous administrative experience in healthcare will be highly regarded but is not essential.
