Monash Health Simulation Centre is an education and training facility, delivering innovative simulation-based courses and programs to healthcare professionals, to improve workforce learning and patient safety outcomes, with the objective of reducing clinical risk and improving patient care.


Monash Simulation was one of the first simulation education facilities established in the Southern Hemisphere and has a reputation as an influential and innovative simulation service.  In recent times, the Centre has undergone extensive renovations to expand and upgrade our facilities.


We’re now looking for an experienced administrative professional to join us in a part time position for twelve months, working 53 hours a fortnight.  Working hours and days are fixed for this role so you’ll need to be available to work 7:30am to 2:30 pm Monday to Wednesday and 7:30am to 3:00pm Thursday. 


About the Role


This is an important role, helping the team to plan, conduct and evaluate the quality of the simulation education programs we deliver.  You’ll be responsible for providing professional and timely administrative support to assist the daily activities of the Centre and for providing direct assistance to the Centre Manager and other departmental team members.


You will have a range of responsibilities and will frequently work autonomously to deliver excellent customer service and clerical/billing support.  Your performance will be regularly discussed with you, in line with key result areas that include:



  • Consistently providing prompt, friendly and professional service to program participants and other key stakeholders directly via the telephone or in person;

  • Coordinating billing and invoicing processes for Simulation courses and participants in a timely manner;

  • Delivering a consistently high level of administrative support, especially in maintaining course databases, creating course registration online applications and collating course feedback;

  • Identifying and implementing efficient and effective work practices to support the Simulation service teams;

  • Working flexibly and multitasking across key functions to support a dynamic team and work environment.


The role will have a strong emphasis on collaborative inter-professional team work.


About You


You have a positive and flexible attitude that help you adapt and respond in a dynamic environment where priorities can change quickly.  We are also looking to you to demonstrate the following skills and experience:



  • Excellent customer service skills;

  • Well-developed organisational and time management skills, enabling you to multitask effectively;

  • Demonstrated experience in accurately tracking and coordinating invoices and payments;

  • Consistent attention to detail;

  • Ability to work cohesively as part of a team and also to work autonomously; and

  • Confidence with a range of systems applications and new technology/platforms.


You are highly motivated to make a contribution in any role you take on and you are willing to learn.


What you need:



  • Demonstrated experience with the Microsoft Office suite, including intermediate Excel skills; 

  • Well-developed organisational, time management and multi-tasking skills; and

  • Proven ability to be reliable and to work and solve problems independently.


Administrative qualifications or working towards these, along with experience working in a healthcare setting or with a training organisation will be highly regarded, but are not mandatory. Experience with TryBooking, and the ability to manage social media platforms will also be advantageous.
