Shared Services Provider

The Shared Service Provider (SSP) team delivers property, carpool and library services to 28 clients across the Victorian Government, including all Victorian Government departments and a range of agencies.

SSP strives to be a shared service provider of choice, achieving value for the Victorian Public Sector by delivering strategic, client focused services. The team is committed to offering their shared services expertise and public-sector knowledge to deliver strategic, efficient, relevant and effective shared services that give SSP clients confidence to focus on their core business.

About the role

This is a rare ongoing opportunity in a small but mighty team where you will be supported to develop your exisiting contract management expertise towards increased tendering responsiblities.  This is a hybrid position with the expectation of two days/week WFH and the remainder in office.

Key accountabilities

• Collaborate with key stakeholders to understand their requirements and strategic needs across SSP to support procurement work and activities.
• Maintain cooperative relationships with stakeholders, constructively working to resolve issues or escalate where required.
• Undertaking SSP contract management activities to support SSP Projects team ensuring the project progression and contract execution meeting timelines, budgets, and government objectives.
• Contribute to the ongoing performance assessment of SSP contracts to ensure contracted providers meet their obligations with respect to achieving performance targets.
• Contribute to the development of improvements in service delivery processes and procedures to achieve efficiencies in projects execution, to identify continuous opportunities for operational and procurement process improvement. 
• Preparation of contracts and Memorandums to execute for signature process from all relevant financial delegates.
• Maintaining the database registration and recording the life-cycle stages of the procurement for each project or Procurement Initiation Documents and Procurement Outcome Documents.
• Support evaluations and negotiate contracts with vendors, including gathering and preparing quotes and proposals for review, including leading tenders and proposal management through panels or otherwise.
• Maintain an understanding of Victorian government procurement policies, processes, and procedures.
• Manage tasks and projects using project management methods to meet agreed timeframes and delivery of consistent outcomes.
• Build strong connections with key stakeholders, both internally and externally by providing expert advice on procurement and contract management matters.
• Support the Team Manager to oversee and quality assure procurement outputs to ensure SSP's needs are understood and met.
• Oversee the delivery of SSP projects applying Victorian Government procurement policies and processes to the highest levels of probity identifying and procuring goods or services from the market that represent economic value.

 About you

2. Strong written and oral communication skills and ability to tailor for a diverse range of stakeholders.
3. Proactive participation in the identification of opportunities for innovation and continuously improvement.  
4. Experience with and knowledge of contract management and procurement policies.
5. Meticulous attention to detail and database recording-keeping skills.
6. Ability to interpret and deliver a complex document in an audience-appropriate format.
7. Proven adaptability to rapidly evolving changes and processes.

Experience and qualifications

Tertiary qualifications in a related discipline, and/or significant experience in a similar role will be highly regarded.

Experience using SharePoint list database or spreadsheet environment would be advantageous.
