Role: Executive Assistant (fixed term until 31 December 2021)

Position Summary:

The Executive Assistant will provide high-level and strategic support to the Executive Director of Vaccinations and Testing Data and Intelligence. Such objectives include providing executive and administrative support, team support, management of correspondence and engagement with various stakeholders, accurate recording of meeting minutes, and general administrative and briefing duties that align with Government policies and procedures.


  • High-level complex diary and email management
  • Coordination of operational and governance processes within Data & Intelligence managed by the Executive Director
  • Coordinate and triage high volume correspondence and briefings, preparing draft responses and escalating high-priority issues as they arise
  • Effectively managing various stakeholders to ensure  efficient information management and flow in and out of the Vaccinations and Testing Data and Intelligence team.
  • Maintain a sound understanding of government processes and compliance obligations, political sensitivities, and the complexities of the current operating environment
  • Plan and organise relevant tasks to support leadership team needs
  • Build and manage collaborative and cooperative stakeholder relationships across the Department and broader public sector
  • Other duties as required or directed by the Executive Director or leadership team
  • Keep accurate and complete records of work activities in accordance with legislative requirements and the department's records, information security and privacy policies and requirements.
  • Assisting in the identification of topics of discussion for upcoming meetings between executive Director and stakeholders.
  • Managing updates and circulation of team information on a regular basis.
