The successful applicant will be responsible for the coordination of executive support for the Director, Energy Programs Branch, and the Victorian Energy Compare Project Director.

The Executive Support Officer is responsible for the coordination of executive support for the Director, Energy Programs Branch, and the Victorian Energy Compare Project Director.

You will provide high-level confidential support to the Directors, managing complex email and calendar requirements, and coordinating workflow. You will undertake a range of discrete, and often confidential, project tasks to support the Directors. You will also be required to undertake the quality assurance of ministerial correspondence and briefs, ensuring all documents prepared for the Minister and Secretary conform to the required style, are reviewed and corrected for errors and completed within the mandated timelines. 

You will act as a pivotal point of contact with internal and external stakeholders and will have proven experience dealing with senior executives. You will work with staff within the Energy Projects and Programs Division as well as with Executive Assistants across the Department to ensure that actions are followed up and completed against mandated timelines. In addition, you will provide project and administrative support across the Branches.

You will have excellent relationship management skills, forming and maintaining positive working relationships within the Group, across the department and with key stakeholders.

Specialist/Technical Expertise/Qualifications

  • Demonstrated experience in providing administrative and executive support to a senior executive, government experience preferred. Proven ability to manage priorities and others' emotions, clarify problems and identify solutions.
  • Experience in delivering a range of executive and business support functions. Proven skills in utilising and managing business systems, including maintenance of databases and use of Lotus Notes, MS Word, Excel and PowerPoint.
  • Experience in managing quality assurance (writing, editing, proof reading) of high volumes of correspondence, briefs and reports.

This is a fixed term position available until 30 June 2023.
