About us

The Department of Government Services (DGS) was established on 1 January 2023 to bring important day-to-day services together in one department to make it easy and seamless for Victorians and businesses to interact with government. We're working to connect and digitise our systems and platforms across state and local government as well as streamlining our corporate and procurement services. 

VicFleet

VicFleet is a business unit within the Government Procurement branch and provides services to mandated General Government departments and agencies, including: vehicle purchasing; finance leasing; insurance; registration; and vehicle disposal. 

VicFleet is responsible for:

  • The provision of advice to the Minister for Government Services on fleet policy and emerging issues
  • Identifying and delivering fleet management strategies to improve utilisation of the Government's fleet
  • Management and application of the Victorian Government's Standard Motor Vehicle Policy and Approved Vehicle List
  • Management and provision of the Whole of Victorian Government finance leasing facility; including: purchasing, registration, insurance and disposal
  • Operational management of major contracts including the Motor Vehicle State Purchase Contract (SPC) and the Motor Vehicle Disposals SPC
  • Provision of fleet management services

About the role 

To deliver on these budget initiatives, VicFleet is seeking an experienced Fleet Purchasing Support Officer. 

  • Provide support and advice to clients on all aspects of vehicle selection and purchase to ensure compliance with the Standard Motor Vehicle Policy to VicFleet clients.
  • Administer lease and purchase arrangements, including providing quotes, ordering, reconciling delivery acceptance forms and processing invoices.
  • Proactively follow up scheduled and late deliveries with dealers and invoice approvals from customer agencies for timely payment.
  • Establish and maintain effective working relationships with a range of clients from general government departments and agencies and representatives from the motor vehicle industry, contractors and suppliers to ensure the timely delivery of vehicles.
  • Work closely with clients and the VicFleet team to deliver the required outcomes for fleet decarbonisation and optimisation.
  • Support the VicFleet and Government Procurement branch as required. 

About you

To be considered for the role, you must be able to demonstrate:

  1. Experience in fleet leasing and/or fleet management including vehicle selection, procurement and lease management, a good knowledge of the motor vehicle industry, leasing and vehicle product knowledge.
  2. Well-developed organisational skills with demonstrated ability to set priorities, manage tasks under pressure whilst delivering excellent customer service.
  3. Ability coordinating concurrent activities whilst balancing a commitment to internal policies within tight timeframes.
  4. Well-developed interpersonal and communication skills (written and verbal) with an ability to liaise and negotiate effectively with clients, stakeholders and external suppliers.
  5. Excellent computer skills including full use of Microsoft Office applications (MS Office 365 would be an advantage). 

Experience/Qualifications

  • Experience in fleet leasing or fleet management including vehicle product knowledge, procurement and lease management.
