About the role:

The Victoria Police Legal Services Department (LSD) provides legal services and advice to support policing, courts, and the Victorian Community. The LSD is led by an Executive Director (who is also the organisation's General Counsel) and employs over 800 staff spread across four divisions – the Office of the Executive Director; the Legal Practice Division (incorporating the Civil Law Division); the Courts & Specialist Prosecutions Division (incorporating the Prosecutions Courts Branch and the Legal & Prosecutions Specialist Branch); and the Legal Business Operations Division. We employee police prosecutors, police lawyers (including specialised advocates and lawyers), project and program support staff and administration and business support staff – all from a diverse mix of sworn, operational, VPS and specialist technical areas.

Courts & Specialist Prosecutions Division currently encompasses in excess of 600 employees spread across 10 metropolitan courts as well as the Coroners' Court and 5 regional headquarter courts. There is a diverse mix of police prosecutors, police lawyers, and administrative personnel operating within these areas. The Superintendent of Prosecutions Courts Branch manages the operations of prosecutions in all Magistrates' and Children's Courts in the State of Victoria.

Due to a promotion, a vacancy has arisen in the Prosecutions Courts Branch as a Senior Administration Assistant. The primary objective of the role is to provide a range of high-level administrative support to the Superintendent and the Prosecutions Courts Branch Senior Management Team. This requires an experienced, professional and motivated person to provide support in a confidential and sensitive environment.

Your duties will include:

  • Create agendas and take minutes for various meetings.
  • Assist the Superintendent and Inspectors with meetings, calendar, and any ad-hoc requests.
  • Provide regular update of staff welfare report, court security and staffing issues.
  • Assist with the recording and updating of people movement information records
  • Monitor and maintain a selection of HR sources for currency
  • Manage building security and alarms.
  • Check mail and process any correspondence through Rec Find and distribute.
  • Process personal claim forms.
  • Order stationery and other items as needed.
  • Maintain and facilitate purchases with corporate credit card.
  • Manage petty cash claims and cab charge.
  • Manage files via RecFind
  • Update business continuity planning.
  • Manage Asset register.
  • Manage PBEA email accounts and meeting room requests.
  • Facilitate any building maintenance requests.
  • Update Prosecutions intranet as needed and
  • Other project work as requested.

Requirements and relevant information:

  • One (1) x full-time, ongoing position available.
  • This position is located at Melbourne Prosecutions Group, 456 Lonsdale Street, Melbourne.
  • Applicants must be an Australian Citizen, Permanent Resident or hold a valid work permit or visa.
  • The successful candidate will be required to undergo pre-employment checks which may include fingerprint checks and misconduct screening.
  • In accordance with the Acting Chief Health Officer's Direction – COVID-19 Mandatory Vaccination (Workers) Directions, you are required to be fully vaccinated (this includes a booster vaccination) and your employment with Victoria Police is subject to proof of vaccination.
  • As a member of the Legal Services Department you will be located, on selection, at a specific office within a Division for a particular advertised opportunity.  However, given occasional legal service demand issues you may be required at times to undertake varied work within the Department.  This supports the Departments commitment to a flexible and deployable legal workforce and professional development opportunities in a range of legal domains.
