Joining our University of Melbourne Old Age Psychiatry Team and the Aged Persons’ Psychiatric Executive Team as an Administrative Assistant will give you the opportunity to explore your passion of administration work in a new direction!

Your new role:



  • Supporting the Professor of Old Age Psychiatry (0.4 EFT0 and Support to the Aged Persons Psychiatric Executive (0.2 EFT)

  • Manage Professor’s diary and travel, and arrange, attend and provide administrative support in meetings (face to face and online)

  • Receive, screen and respond to telephone calls and emails

  • Support preparation of annual reports and grant applications

  • Undertake word processing activities for reports, correspondence etc., filing and utilise other software packages, including PowerPoint, where appropriate

  • Receive and allocate mail and facsimiles, advise and track responses, and deal with routine matters arising from the communications

  • Ensure appropriate confidentiality and security of sensitive documents

  • Preparation of presentation materials

  • Provide linkages and support to consumers in the community.


About you:



  • Highly proficient computer skills (Advanced skills in Microsoft Office) and spreadsheet management skills

  • Excellent communication skills with all levels of staff

  • Effective interpersonal skills and attributes that demonstrate use of initiative

  • Ability to maintain efficient appointment, reminder and filing systems

  • Proficiency in audio typing

  • Capacity to build strong professional relationships with key staff members.

  • Ability to determine workload priorities, coordinate tasks, work to time lines and self-direct activities

  • You enjoy working collaboratively, with supportive and dedicated multidisciplinary teams.

  • Compassionate, caring and the mindset to make a difference.



  • Can commit to a new professional role and explore the opportunities available.

  • Experience as a personal assistant and the range of functions within the role is desirable
