Role Summary

The Business Support Officer (BSO) is the first point of contact for our internal and external stakeholders, modelling our values and a passion for excellence by anticipating needs and delivering high quality outcomes and service.

 

Who we are

The Victorian Auditor-General's Office (VAGO) provides assurance to Victoria's Parliament and community about the performance and accountability of the state's public sector. We achieve this by auditing and reviewing the finances and performance of state and local government entities.

 

VAGO helps to hold the Victorian Government accountable by conducting financial and performance audits and assurance reviews of public sector agencies and reporting the results to Parliament.

 

We are part of Victoria’s integrity system. The office of the Auditor-General is independent - it is not controlled or directed by Parliament or the government.

The Role

As one of our BSOs you will be the first point of contact for all external stakeholders, whether online, by phone or in-person. 

 

The BSOs are critically important in supporting the needs of our staff, providing a range of business and administrative support services.

 

You are a customer-focused and productive professional who uses initiative to thrive in a dynamic business environment, taking accountability for varied services critical to the smooth running of VAGO.

 

Key accountabilities

  • Provide high quality virtual and in-person reception services (as required), responding to online enquiries, callers and correspondence. 
  • Provide a range of support services to VAGO staff, including executive support, scheduling meetings and events, assisting with in-person, virtual and hybrid forums. 
  • Deliver daily administrative and business support tasks to support operations, including raising purchase orders, managing correspondence, preparing briefing papers, taking minutes, updating registers, collating information and reports, and managing physical office facilities. 
  • Conduct simple analysis and complete administrative support tasks on organisational and audit projects.

  • Demonstrated ability to effectively plan work activity, including prioritising time and resources and using established processes and supporting systems to achieve optimum efficiency and effectiveness. 
  • Research issues and prepare draft correspondence and briefings papers. 

 

Organisational Effectiveness 

  • Ability to work with limited supervision while receiving guidance and direction from up the line. Strong attention to detail as shown in ability to produce quality deliverables. 
  • Able to use initiative and sound judgement when undertaking assigned work, including identifying potential issues, setting appropriate priorities and seeking support as needed. 
  • Strong problem-solving skills and ability to identify opportunities for improvement.

Qualifications and Experience

  • Experience in Customer Service, Administration, Business Support or similar. 
  • Diploma level or above qualification in a business, finance or project management discipline, or experience in a similar role. 
  • Advanced proficiency in Outlook, Word and Excel. 
  • Familiarity with Microsoft Teams, SharePoint, Dynamics and Power BI is highly desirable. 

 

Additional information

  • When not working from home, this role is based at 35 Collins Street, Melbourne.
  • Travel to various work locations throughout Victoria and Australia may be required.
