An exciting opportunity exists for a Contract and Procurement Support Officer on a full-time ongoing basis in The Commercial Team of the Shared Service Provider.

The Shared Service Provider (SSP) team delivers property, car pool and library services to 30 clients across the Victorian Government, including all Victorian Government departments and a range of agencies.

SSP strives to be a shared service provider of choice, achieving value for the Victorian Public Sector by delivering strategic, client focused services. The team is committed to offering their shared services expertise and public-sector knowledge to deliver strategic, efficient, relevant and effective shared services that give SSP clients confidence to focus on their core business.

The role includes the following responsibilities

  • Partner with key stakeholders to identify continuous improvement opportunities and strategic needs across SSP to inform procurement work.
  • Lead the timely drafting of Procurement Initiation Documents and Procurement Outcome Documents, managing the process and obtaining the correct signatories.
  • Maintain an understanding of Victorian government procurement policies, processes and procedures.
  • Manage task and projects using project management methods in order to meet agreed timeframes and delivery of consistent outcomes.
  • Build strong connections with key stakeholders, both internally and externally by providing expert advice on procurement and contract management matters.

As our ideal candidate, you will be required to demonstrate

  1. Ability to work collaboratively in a team environment, and to constructively support the delivery of team and organisation-wide outputs.
  2. Strong written and oral communication skills including the ability to communicate with diverse internal and external stakeholders.
  3. Ability to participate proactively in the identification of opportunities for innovation in service delivery.
  4. Experience with and knowledge of contract management and procurement policies, standards and guidelines within the public sector.
  5. Meticulous recording-keeping skills, appreciating the sensitive nature of the documents created and adapted.
  6. Ability to translate a complex document or contract into a format that senior stakeholders could easily read and signature.  
  7. Demonstrated experience in delivering services in a collaborative manner to internal and external stakeholders, in a manner that identifies opportunities for innovation and continuously improvement. 
  8. Proven ability to thrive in a fast-paced change environment, including demonstration of a team oriented, flexible, and pro-active approach to customer service.
