Role

This position is 8:30-2:30 Tuesday, Wednesday and Friday

The role requires a motivated individual willing to undertake the full range of administrative tasks associated with the day-to-day operation of a primary school.

The successful applicant will need to be multi-skilled, have a capacity to be flexible, and be able to multi-task.

Range 3 is distinguished by the introduction of management responsibility and accountability for the delivery of professional support services. The role will usually impact beyond the work area or professional field. It seeks to gain cooperation of other staff members or members of the school community to achieve specific objectives, such as in school administration, operations or educational programs.

Direction on targets and goals is provided but the position will have some degree of latitude in determining how they are achieved. This latitude will generally be limited by standard procedures and school policy.  Deviation from standard procedures and school policy will require guidance and direction from senior management.

The provision of business management responsibilities becomes a feature at range 3.  Management of staff to achieve the expected outcomes is a key responsibility.  Staff management issues will be resolved with minimal reference to senior management, although guidance will be required in more complex cases.  Senior management will be provided with timely reports and advice, although this will generally be confined to matters relating to the immediate work area, service provision or educational program and is unlikely to impact substantially on whole of school operations.

This is the minimum range for positions that carry a mandatory qualification requirement of not less than four years.  Professional student support positions become a feature at range 3 (e.g. therapists, psychologists) where standard professional services are delivered.  Professional support and guidance will be close at hand and deviation from standard procedures and school policy will require guidance and direction from senior management.

An education support class position supports the educational services being provided to students, but must not include duties of teaching as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor.  Supervision of students cannot be required except where it is an integral part of the employee¿s position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher.

Admin Duties:

  • Perform reception duties, including the operation of the main telephone, welcoming and screening all visitors to the school
  • Assist teaching staff and students as required
  • Support student data maintenance including enrolments, exits and changes using CASES21 and Sentral
  • Assist with the preparation of school events as directed by the Principal or Business Manager
  • Follow current policies, procedures and internal controls
  • Provide documentation preparation support
  • Manage distribution of school email, letters and packages to staff

Support other office staff to ensure the office is running smoothly

  • Multi-skill and upskill opportunities
  • Coordinate the purchasing and stocktaking of office supplies and stationary
  • Assist staff with general tasks as required and approved by the Business Manager
  • Attend professional development to keep up to date with current responsibilities
  • Coordinate the delivery of administrative services within the school
  • In consultation with the Business Manager, determine and manage work priorities within the school office
  • Develop and implement strategies to ensure effective administration procedures
  • Maintain school's records systems, including archiving, student, staff and school records
  • Support OHS practices and policies (including inductions)
  • Other duties as required by the Principal or Business Manager

First Aid:

  • Performing first aid as required
  • Assist with check and restock of school first aid kits/supplies
  • Assist with monitoring expiry dates of first aid materials (includes EpiPens, Asthma pumps etc)
     

Responsibilities

  • Provide routine clerical or other administrative support responsibilities including general telephone, front office enquiries, mail deliveries, assisting with stock control, supporting organisation of meetings, receiving and initial processing of standard paperwork
  • Maintain, enter and retrieve data from the schools IT systems, such as the school's records system, including computerised student, staff and school records
  • Maintain and update office records, enrolment data, diary records, and basic written records
  • Support or coordinate the preparation of standard routine internal and external communication according to school procedures (e.g. form letters, newsletters)
  • Source basic data or factual information from given sources to support school administrative functions, e.g. books, reports, manuals, catalogues, tables, forms, etc.
  • Coordinate the delivery of administrative services within the school
  • In consultation with the principal, determine and manage work priorities within the school office
  • Develop and implement strategies to ensure effective administration procedures
  • Coordinate the implementation of requisitioning, purchasing and issuing procedures
  • Manage client reception and office operations
  • Liaise with school staff in regard to support requirements
  • Coordinate staff timetabling
  • Undertakes VASS and/or VET administration support
  • Supports the first aid facilities and assists in delivering first aid to students

Location Profile

Clayton South Primary School has been providing excellent education for our community since 1929. Situated on 3 acres, our school provides a wonderful atmosphere and space for our students to develop their academic and creative talents.  We are an inclusive school with just over 100 students from diverse cultural and socio-economic backgrounds, including international enrolments.

Our school follows the Science of Learning principles, Explicit resources such as Little Learners Love Literacy, Spelling Mastery and the Orton Gillingham Approach are used to compliment high quality teaching practices.  Core lessons are delivered utilising a direct instruction approach, complimented by differentiated activities for students to independently practice their skills.

Teachers work in junior and senior school teams to collaboratively plan, for collegial support and to develop the slides utilised in literacy and numeracy sessions.  To further achieve Literacy and Numeracy goals for our students, teachers at CSPS are committed to meet on a weekly basis as a Professional Learning Community (PLC), to assess and analyse student performance data, and to plan for precise and personalised teaching in the classroom, and a subsequent weekly professional learning meeting.

Clayton South Primary School has a strong emphasis on improving literacy and numeracy outcomes for all students, with all planning and programs based on the Victorian Curriculum.  Teachers also deliver Science, Respectful Relationships, Library and Humanities lessons, with specialist teachers delivering PE, Performing Arts, Visual Arts and Spanish lessons each week.  A wide variety of programs are offered to extend and enrich student learning including camps, swimming, PMP, kitchen / garden, sporting activities, Minecraft Club, Art club, Lunchtime Library access and breakfast club.

Our school is well supported by our families and the wider community, with our Parent Opinion Survey and Student Attitudes to School Survey results always demonstrating a great overall satisfaction with our school.  Being a small school, it is critical for our staff to work as a collaborative team in conjunction with our families and the wider community.

We are excited by the current election promise of a $12.45million upgrade of our main school building.  We are in the first stages of this process, appointing architects which will lead us into the design phase.  Adaptability from staff will be required, as workspaces may need to be shifted in the next 12 months to allow the works to take place.
