Position:

Health Information Services Support Officer

 

Role 1 Night Shift:

40 hours per fortnight

The position is primarily located within the Emergency Department (ED) which operates 365 days per year. Please note this position may be required to work on public holidays as rostered. The applicant is required to be available for the following shifts:

Week 1: Monday, Friday, Saturday 2230 - 0700

Week 2: Tuesday 2300 - 0730, Friday 2230 - 0700

 

Role 2:

35.5 hours per fortnight

The position is primarily located within the Emergency Department (ED) which operates 365 days per year. Please note this position may be required to work on public holidays as rostered. The applicant is required to be available for the following shifts:

Week 1: Wednesday and Sunday 0700 - 1500 

Week 2: Monday and Wednesday 0900 - 1600, Friday 0700 - 1500

 

The Role

The Health Information Services (HIS) team provides a range of administrative services for Bendigo Health ED which sees around 50,000 patients each year, making it one of the busiest emergency departments in regional Victoria and busier than some metropolitan emergency departments. The ED is open 24 hours per day, 365 days per year and is staffed by a dedicated team of professionals including emergency medicine specialist doctors, critical care trained nurses, nurse practitioners specialising in emergency care and physiotherapists with expertise in urgent conditions, supported technical and administration staff.

 

Whilst primarily located within BH ED, please note the successful applicant may be required to work within other areas of HIS, including Medical Records, under the direction of the HIS Manager, Service Delivery and/or HIS Administration Supervisor.

 

Responsibilities:

The HIS team in the ED has a wide and varied selection of responsibilities with the main focus of registrations and admissions of patients presenting to the ED along with documentation management to ensure all relevant notes can be found in the single source.


Employees are required to carry out lawful directions outlined above or delegated to them. The work to be performed is set out in the position description and, where relevant, any professional standards and codes of conduct and ethics issued by the relevant professional association.


Health Information Support Officer Emergency Department responsibilities include:

  • Create new registrations with the Patient Administration System and electronic patient record;
  • Update registration details for emergency presentations in accordance with the Bendigo Health Registration Policy;
  • Ensuring all mandatory patient details are checked and updated in all relevant Bendigo Health systems at every visit;
  • Administration of admissions, discharges, transfers (ADT), care type changes for the ED along with overnight support for administrative functions on ADT of wards;
  • Provide clerical support to the ED nursing, allied health and medical staff;
  • Update and maintain the Patient Administration System and electronic patient record to correct discrepancies in data;
  • Release of patient information to external providers such as other Hospitals and GP’s in accordance with Policy;
  • Preparation of the ED documents for scanning to the electronic record;
  • Scanning and validation of the ED documentation to the electronic record;
  • Sending patient discharge summaries;
  • Participation in team/departmental meetings;
  • Participation in staff development and training as required;
  • Other administrative duties across the Health Information Services team as directed
