Role

Purpose:

The purpose of this role is to work collaboratively with other members of the International Student Program Team to provide administrative and welfare support to International students and to ensure that the school complies with the International Student Program Unit’s Quality Assurance Standards.

Accountabilities:

  • To abide by the School’s Code of Conduct which expects and requires staff and visitors to ensure the protection of students
  • To fully support the school’s Child Safe Policy for the prevention of student abuse by identifying possible risks, taking all allegations and concerns seriously, reporting to appropriate staff who have specific responsibilities regarding Child Safety to remove and reduce risks to all students at Camberwell High School
  • To be compliant with the Quality Standards of the International Student Program Unit
  • Under the direction of the Assistant Principal overseeing the International Program, to work collaboratively with the International Team to carry out administrative and welfare tasks
  • To communicate and liaise with the International Student Program Unit of the Department of Education & Training
  • To communicate with International students, parents/guardians, homestay providers, agents and teaching and ES staff to best support the international program
  • To use the school’s resources, including the work phone and the limitations of the plan provided for it for the sole purpose of supporting, promoting and extending the school’s International Program
  • To be the first emergency contact support to the International Program during school term times
  • In conjunction with the overseeing Assistant Principal, to provide first emergency contact support to the International Program for half of the designated school holiday periods 

 

Responsibilities

To liaise and work collaboratively in conjunction with other members of the International Team in the following areas:

  •  Plan the week’s activities, processes and tasks which support the International Student Program (ISP)
  • Provide welfare and administrative support for the International Students including being the after hours 1st person emergency contact. Detail of this emergency contact needs to be clearly communicated to students. Any major emergency should be referred on to the Assistant Principal for oversight
  • Establish and maintain international student records (except for Cases21 which is managed by sub school ES staff)
  • Ensure all Program documentation is current and complies with QAS
  • Ensure all VISIT requirements are completed in a timely manner
  • Monitor student attendance, welfare and academic progress
  • Provide airport collection of students as required
  • Attend and support the Homestay Coordinator at annual homestay parent information sessions prepared by the International Homestay Coordinator
  • Organise, attend and support International Student dinners and major celebrations
  • Be familiar with the responsibilities of others in the International Team and provide support when they are absent/over committed
  • Collaboratively set agendas and conduct weekly minuted International office team meetings, focussing on goals and priorities for all in the team

Independently ensure completion of the following:

  • Maintain up to date marketing materials to be used with visiting international agents/sister school contacts and on overseas marketing trips conducted by the school
  • Complete all logistical preparations for school representatives on marketing trips
  • Ensure planning, promotion, rehearsal and practices with International students are managed for the annual Inter- cultural Festival whole school celebratory assembly
  • Understand and support the monthly homestay payment schedule and deliver and bi-annual homestay invoices completed by the International Homestay Coordinator

 

 

In conjunction with the other International Student Coordinator:

  • Deliver the afterschool program/sports/activities club for International students
  • Arrange and undertake responses to general expressions of interest and to Requests to Place from the International unit
  • Complete interviews of prospective students in conjunction with the Assistant Principal
  • Prepare student report information for translation and remittance to overseas families
  • Collaborate to develop the annual program for the English Language School (ELC) with the timetabler
  • Oversee recruitment in liaison with Assistant Principal
  • Oversee organisation of study tours and sister school exchange arrangements

  • Some after-hours work is required
  • Current driving licence and use of own car required at times
  • Holiday periods:
  • Share emergency duty arrangements with the overseeing Assistant Principal for all school holiday periods
    • January school holidays: Be available for airport pickups for arriving International students in the final week of January school holidays
    • Be available for airport pickups of incoming International school students in the second week of the mid-year holiday
  • Whilst recruitment of students can occur outside school hours, agent’s will be informed that requests will be responded to as far as possible during office hours
  • Time in lieu is negotiated in advance only through a request to the overseeing Assistant Principal (In emergency situations an exception may be made)
