Legal Practice Coordinator

  • $86,558 - $98,210 (Plus Superannuation)

The position of Legal Practice Coordinator forms a part of the Legal and Legislation Branch within Corporate Services Group.

As Legal Practice Coordinator, you will hold a diverse and rewarding role in providing essential support to the efficient coordination and administration of the Department's in-house legal practice. You will assist in the development of appropriate processes and systems that ensure efficient operations and data management and will establish and maintain effective relationships within the Legal and Legislation Branch, the Corporate Services Group and the Department to facilitate partnerships across relevant teams.

The role is also accountable for providing a complete administrative function, including but not limited to maintaining the office of the General Counsel, which can include coordinating or contributing to business planning, business continuity and risk management, records management, accounts processing, human resource reporting, meeting and project related support, preparation and coordination of briefing material and the development and maintenance of matter management and administrative support systems and procedures. The role will also assist with recruitment processes and the induction of new staff.

The role will suit an organised, energetic person with high levels of initiative and intuition, technical competency in using and administering matter management systems (LEX), a customer service focus with exceptional written and oral communication skills, and who is motivated to help drive an efficient, high performing in-house legal practice.

The key accountabilities for the role will include:

  • Support the branch in the effective design and integrated use of matter and knowledge management systems and electronic content management, including developing and updating guides to use them, resolving issues and leading new-starter onboarding, and supporting the team with the delivery of a range of legal practice improvement projects.
  • Assist the Business Coordinator with maintaining the Office of the General Counsel, Legal and Legislation, by providing a range of administrative support functions including diary management and preparation of agendas, minutes, reports, briefs and correspondence and accounts processing, as required.
  • Coordinate a range of business and executive services for the branch, including, risk management, business continuity, human resource management (including recruitment) and coordinating branch work plans and contributing to the business plan.
  • Develop, coordinate and implement business processes and administrative support systems and procedures appropriate to the effective running of the branch, ensuring reduced interruptions to workflow and enhanced continuity of service from the Branch.
  • Provide a range of project and administrative support functions for the Branch and staff, including external and internal communication, web page management, and other project related work. Implement projects with varying degrees of complexity and any other tasks as directed by the General Counsel.
