What You Will Be Doing

The Administration Assistant for Child and Adolescent Health provides high level personal administrative support to the Clinical Director for Paediatrics.
Duties include but not limited to
• Provide rosters, roster timetables and distribute these to Senior Medical Staff, Registrars, HMO’s and Medical Students
• Provide clerical administration for all of the above, including up to date databases of contacts, provider numbers, appraisals, mandatory training, working with children checks.
• Fill vacant shifts on all Rosters
• Uses a range of software application features for word processing, spread sheets, hospital programs including iPM and DMR
• Communication with Medical Workforce and all departments regarding recruitment
• Assist in education, planning and communication with external sources
• Follow up of assessments of medical students, communication with Monash University staff
• Outpatient clinic appointments and bookings
• Outpatient clinic Reception cover, working across all sites
• Assist with the processes of the appointment of new medical staff.
• Collect and process timesheets for all staff, in a timely and professional manner.

What You Need

We anticipate you will have:

• Sound understanding of Word and Excel programs
• Experience creating and management of rosters
• Experience with Peninsula Health Hospital Systems e.g. iPM , EMR, DMR, BEIMS, e-recruit
• Experience management of Corporate calendars
• Experience creating virtual meetings e.g. Microsoft teams, Web Ex
• Experience with medical staff time sheet and payroll enquiries
