About the Role

*This is an Ongoing, Full-Time Position*

The Precinct Program Coordination Team operates in a dynamic and fast-paced environment, providing overall program management to the Precincts and Precinct Delivery Divisions and their senior leadership. The Program Officer plays an important role in ensuring that the governance and operational environment for Precincts and Precinct Delivery runs efficiently and effectively. The Program Officer works collaboratively with all members of the Precincts and Precinct Delivery Divisions including senior leaders to support reporting, briefing and governance processes. The Program Officer supports briefing coordination, document preparation and preparation of meeting materials to support senior decision-makers. Skills required include the ability to work flexibly and responsively, and to effectively plan and manage their workload to meet deadlines.

Job Description

Position Outcomes / Accountabilities

  • Support the broader team in the coordination of briefing material, including drafting, editing and managing relevant approvals.
  • Contribute to corporate reporting including Parliamentary Accounts and Estimates Committee, Annual Report, Budget and procurement.
  • Support the broader Precincts team in scheduling of governance committee meetings and managing invitations to committee members and attendees.
  • Update and maintain the Precincts and Precinct Delivery resources, including templates, guidelines, information sheets and intranet sites.
  • Establish and maintain professional relationships with key departmental stakeholders.
  • Contribute to continuous improvement and people and culture initiatives for the Precincts Division.
  • Demonstrates VPS values and behaviours.

 

Key Selection Criteria

To be successful in the role the ideal candidate will be adept at tailoring communications to various audiences and ensuring mutual understanding through strong interpersonal skills. They will excel in stakeholder management by adding value for clients and linking people with relevant areas. The candidate will demonstrate critical thinking and problem-solving abilities, seeking resolutions through policy or process guidelines. Additionally, they will communicate with impact, delivering clear and concise presentations and using appropriate media to enhance audience understanding.

On a personal level the candidate will be highly flexible and adaptable, comfortably accepting changing priorities and quickly responding to new situations. Qualifications and Experience

Mandatory

  • Project support, office and business administration or other relevant qualifications.
  • Experience working in government or government agencies.
