About the Role
Fixed Term – Full time

The Project Coordinator will develop communications and reports that support the Program Delivery team within Transport Operations. This role will work to deliver briefing papers, project docments and government reports related to specific project requirements across a small but diverse portfolio of works. Flexibility across content and delivery timeframes will be required to flex to the key priority areas as needed, and the ability to translate techincal information to suit a wide auidence will be essential.

Position Outcomes

  • Delivery of timely and effective communications for the Director, and collates and provides accurate advice and input in accordance with departmental and divisional strategies, plans and requirements, on behalf of the Executive Director and directors.
  • Ensure risks have been identified and informed the development of appropriate mitigation strategies
  • Build strong relationships to ensure internal and external stakeholders were provided with expert advice on the complexity and importance of the initiatives, which resulted in shared commitment to the timely delivery of the projects
  • Successfully manage projects and events for the divisions as required in accordance with pre-determined outcomes.
  • Initiate and maintains strong relationships with internal colleagues and external stakeholders to support value creation and ensure high quality delivery of work programs
  • Promote and supported safe, inclusive and flexible team operations.

 

KEY SELECTION CRITERIA 

The ideal candidate will have a strong track record of motivating, coordinating, and providing assistance to project stakeholders to achieve business outcomes. With excellent project management skills, the candidate will have demonstrated the ability to oversee complex programs of work: accurately documenting  meetings and decisions, actively coordinating actions arising from meetings, tracking progress and implementing robust document control for the project records. They will possess exceptional verbal and written communication skills, and be able to convey clear, cohesive messages tailored to diverse audiences in a variety of formats. Additionally, the candidate will be experienced in providing expert advice to business areas and senior management, and offering insights that support key projects and programs for DTP and the Victorian Government. Strong stakeholder relationship management is essential, with proven success in engaging and negotiating with both government and industry stakeholders to influence decisions and achieve program objectives.

 

We are seeking a candidate with strong communication skills, both written and verbal, who can develop and deliver high-quality materials that are clear, concise, and grammatically correct. The ideal applicant will have demonstrated success in stakeholder management, including the ability to identify key stakeholders and build and maintain effective working relationships. You should be able to assess risks effectively and apply appropriate judgment on when to escalate stakeholder issues. A proactive and resourceful approach to strategic planning is also essential, as the role requires delivering communications services that align with organisational goals. In addition, the ability to adapt communication style and content to suit diverse audiences is crucial, with experience in influencing and persuading others by linking your ideas to their values, needs, and goals.

 

QUALIFICATIONS AND EXPERIENCE:

Desirable

Tertiary qualification or equivalent experience in fields related to communications, journalism, public relations, marketing, or similar
