ABOUT THE POSITION

The Project Officer is responsible for managing the administration of the First Peoples department and providing key support for the Head of First Peoples. The position is accountable for the effective operation of the First Peoples department through the provision of efficient and timely administrative systems, financial monitoring and management, communication with internal and external stakeholders, recruitment and staff instruction and training, and project support for departmental activities.

Key duties of this role include:

• Create, initiate, improve and maintain appropriate office and knowledge management systems, procedures and reporting, including for finance, recruitment, governance, collection management and programs and events. 
• Provide key administrative support for the Head of First Peoples, including calendar and schedule coordination, correspondence and project work as required.
• Coordinate and provide support for MV's First Peoples advisory groups, Associates, First Peoples community members and Elders, and university partners, and provide advice on their appointments and entitlements.
• Manage projects and provide project support to the Department as required.
• Coordinate regular meetings of the First Peoples Department, and relevant groups, including preparation of agendas and minutes, relevant documentation and communication.
• Provide papers and background information for briefings/reports for MV senior management, MV Research Committee, Museums Board of Victoria and external stakeholders.

The successful applicant will have:

• Demonstrated experience providing high-level administrative support to senior staff.
• Excellent time management and organisational skills, including the ability to set priorities and meet competing deadlines.
• The ability to use initiative, be self-motivated and work with minimal supervision.
• Well-developed verbal and written communication skills and the ability to communicate clearly with both internal and external stakeholders at all levels.
• Demonstrated ability to work effectively both in a team and autonomously.

OTHER INFORMATION

This role is full-time, ongoing. The salary on offer is $72,751 per annum (base of grade) plus 10% superannuation.
