An education support class position at this range will perform tasks that are carried out in accordance with guidelines, accepted practice, and school policy under supervision and direction. This may include coordination of other education support class staff within the work area or educational program.
An education support class position supports the educational services being provided to students but must not include duties of a teacher as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students can be required individually or in groups up to 4 in controlled circumstances and where the responsibility for students remains clearly with a teacher.
A role at this range may include:
An education support class position at this range commencing at the base will initially be limited to undertaking routine tasks that are carried out under close supervision and direction. Work that carries some degree of independence will generally involve a limited number of tasks performed on a regular basis where priorities are clear, procedures are well established, and direction is readily available. Subject to any specific qualification and/or training requirement, an education support class employee employed in this range may be progressively required to undertake coordination, specialised student/teacher support tasks, or technical tasks as experience in the role is gained.
The responsibilities of the RSA Administrator are:
· To create and maintain an accurate database (currently ACT) of families/students enquiring about enrolment in RSA. This database will be generated from the Expression of Interests (EoI) completed by families. These will be received by the RSA Operations Manager who will forward them with any advice so as they can be completed as first task every Monday. No other task is to be undertaken until the EoIs are completed, unless with the express approval of the RSA Operations Manager. It should be noted that the database platform is currently being re-considered and a move to a more automated platform will reduce the hands-on activity in this part of the job description at some point.
· To be the RSA receptionist taking all calls/inquiries relating to the RSA, speaking to parents about the program and maintaining positive Public Relations with current and future families. Telephone calls should be warm and friendly but tailored to the likelihood that a specific family will or will not be a successful applicant for RSA.
· To manage the RSA incoming email communication and respond appropriately and in a timely manner. As a minimum this task and responding to voicemails should be the first task of the day on every day except Mondays.
· Providing families with information regarding trials and progress of application using the database created from initial inquiries and based on the Camps Marketing Schedule provided by the RSA Operations Manager.
· Communicating and coordinating the collection of school reports and birth certificates for all students seeking entry to RSA in the following school year. Every effort will be made to avoid the Assistant Principal reading reports of students who do not meet the sporting criteria. To this end the RSA Operations Manager will occasionally provide a list of students who have a high likelihood of being offered RSA placement, to enable the RSA Administrator to communicate with parents on the need for reports to be submitted and/or so that the RSA Administrator can submit reports from these students to the Assistant Principal.
· Communicating the outcome of applications to parents consistent with the Department of Education and RSC timelines and as directed by the RSA Operations Manager. This will involve sending appropriate letters after camps and try outs, making offers to successful applicants including setting up for the payment of their deposit and monitoring and reporting to appropriate staff including the RSA Operations Manager on acceptance or otherwise of places in the mostly timely manner to enable additional offers when necessary.
· Communicate with other RSC staff RSC Enrolment Officer, Careers & Pathways Advisor/Student Services Officer (East Campus) and Student Services and Attendance Officer (East Campus) in respect to new students especially in relation to elective options for students in Years 9 ¿ 12 and documentation for enrolment purposes.
· Communicating with coaches about changes to the scheduled facilities usage that occur because of events, fixtures or for any other reason. Where required this will involve communicating with the facility that they will use, looking at other sports to see if they can make use of the regular facility rather than external venues, communicating this and also communicating with the Logistics Officer around changes to the bus schedule.
· Completing the administrative tasks associated with purchase orders required by Coaching Directors or Assistant Coaches who have been delegated this duty. Coaching Directors should seek approval for purchases from the RSA Operations Manager, although regular replacement equipment (e.g. balls, bibs, etc) can be approved directly by the RSA Administrator.
· Communicating with the Logistics Officer about any school events which might result in the regular bus runs not being required.
· Providing coaches with all of the appropriate documentation required for their work including the Facilities Schedule, Events Schedule, Bus Timetable, once they have been provided by the RSA Operations Manager or other relevant staff.
· Communicating with coaches to provide information about school wide issues such as BPAs, School Assemblies, Student Free Days if they are not included in a school wide DL distribution of these matters.
· Maintaining a current and accurate RSA Staff List with appropriate contact details ¿ specifically phone and email contacts
· Support to RISE Health staff and other relevant partners, assisting them, where appropriate, with contact information for students, ensuring appropriate forms are all signed and communicating any timetable changes including alterations to regular days e.g. Student Free Days, School Assemblies
· Providing assistance and instruction for ordering items of uniform and overseeing any ¿excess stock¿ to be sold through the school when uniform changes are made.
· Any other duties allocated by the RSA Director.
Note: This position is not a management position, the RSA Administrator will take direction and adhere to the priorities established by the RSA Operations Manager and will work collaboratively with other RSA staff members.
The role has a strong community/PR focus and is about providing high level service to current and potential customers. To this extent there is a marketing component within the role but more through ¿good customer service¿ while specific RSA Marketing is the responsibility of others.
The role does not include issues of safety within facilities or through training activities. However, all employees must be conscious of Health and Safety matters and raise any concerns with their Direct Report or to the person directly responsible.
In this role there is an interface with many other members of the school community. This will likely lead to assessments being made about efficiency in areas that are not the responsibility of the RSA Administrator. This interface should only occur in respect to areas within this job description or if approval has been given by the RSA Operations Manager. School efficiency is important so any ideas for school improvement should be discussed with the RSA Operations Manager, who will advise on further action.
The position does not have a welfare component, other than by showing kindness to everybody. Students who are brought or mentioned to the RSA Administrator as needing welfare support, must be referred to the well-being team.
