About the role:

This is an exciting opportunity to progress your career and obtain experience working as a Senior Administration Assistant in the Courts and Prosecution Services Division (CPSD) of the Victoria Police Legal Services Department (LSD). Victoria Police's LSD provides legal services and advice to support policing, courts, and the Victorian Community. The LSD is led by an Executive Director (who is also the organisation's General Counsel) and employs over 800 staff spread across four divisions – the Office of the Executive Director; the Specialist Legal and Litigation Division; the CPSD; and the Legal Business Operations Division.

As the successful applicant, you will be required to work as part of and assist with supervision of the administrative team in the North-East Prosecutions Group, with your time spent between the Ringwood and Heidelberg Prosecution Units in a dynamic and fast-paced environment. Reporting to the Administration Manager / North-East Group Inspector you will ensure expedient movement and recording of large volumes of critical legal documents for Prosecutors and Lawyers in the Prosecutions Units.

Your duties will include:

  • Assist in the management of the administration team at Ringwood and Heidelberg Prosecutions Units.
  • Assist in providing BMS user support to Victoria Police.
  • Assist in providing data analytics using SaS to Prosecutions Court branch SMT and OIC's.
  • Assist in coordinating the workflow of the administration functions, asset management and office logistics.
  • Preparing briefs for court by cross referencing the court list against filed briefs.
  • Effective communication and maintenance of professional relationships and with key stakeholders to ensure the team functions efficiently and effectively.
  • Supervise the University Student and School Student work experience programs.
  • Monitoring and actioning group email accounts.

As the successful applicant, you will have:

  • A high level of planning and organisation skill with demonstrated ability to adhere to critical timelines and security requirements.
  • Well established interpersonal skills to effectively communicate and maintain good working relationships with a diverse range of customers both internal and external to ensure the team goals are met.
  • Demonstrated ability to exemplify, maintain self-discipline and organisation skills with the capacity to provide the levels of integrity and professionalism required by the unit.
  • Flexibility to adapt to and lead change as is necessary for the unit's function.
  • The ability to work autonomously on specific tasks to ensure they are completed in an appropriate timeframe.

Requirements and relevant information:

  • One (1) x full-time, fixed term until 18/4/2025 position available.
  • The salary range for a VPS3 role is $74,580 to $90,558 (covering salary ranges VPSG3.1 and VPSG3.2).  Although it is standard practice for selected candidates to commence at the base of the salary range, genuine consideration will be given to a commencement salary within the available range that is commensurate with the successful candidate's knowledge, skills and experiences. This will be subject to negotiations with the Hiring Manager in the course of the selection process and may include the provision of evidence of a higher income and/or supporting documentation (as required).
  • This position is located in the North-East Prosecutions Group, with duties to be performed at Ringwood Prosecutions Unit, 41-43 Ringwood Street, Ringwood and at Heidelberg Prosecutions Unit, 9-11 Jika Street, Heidelberg.
  • Applicants must be an Australian Citizen, Permanent Resident or hold a valid work permit or visa.
  • The successful applicant will be required to undergo pre-employment checks which may include fingerprint checks and misconduct screening.
  • As a member of the Legal Services Department you will be located, on selection, at a specific office within a Division for a particular advertised opportunity. However, given occasional legal service demand issues you may be required at times to undertake varied work within the Department.  This supports the Departments commitment to a flexible and deployable legal workforce and professional development opportunities in a range of legal domains.
